How It Works: From Origin to Your Door in 48 Hours

Coffee shouldn't sit in a warehouse for months waiting to reach you. At Gearhead Roasting, every bag we ship was roasted within 48 hours of your order. Here's how we get fresh, traceable coffee from the farm to your kitchen.

Step 1: We source from named farms, not commodity brokers

Every coffee on our shelves comes from a specific farm, cooperative, or estate — and we put the name on the bag. Our current seasonal partners:

  • [Single-origin espresso roast] — Finca La Esperanza, Colombia. 1,650m elevation, fully washed.
  • [Pour-over light roast] — Hambela Estate, Ethiopia. 2,000m elevation, natural process.
  • [Green tea] — Uchiyama Family Farm, Kagoshima, Japan. Steamed and rolled by hand.
  • [Black tea] — Margaret's Hope Estate, Darjeeling, India. Second flush, 6,000+ ft.

We pay above Fair Trade minimums and publish the price we paid per pound. If we don't know who grew it, we don't carry it.

Step 2: We develop each batch on a drum roaster, then log the curve

Every batch is roasted on a 1kg sample drum (PROBAT), developed to a calculated ratio between 18–22% depending on the origin. We log charge temperature, turning point, first crack, and drop time for every batch:

  • Espresso roast — Charge 400°F → First crack ~9:30 → Drop at 420°F, dev time 1:15
  • Pour-over light roast — Charge 385°F → First crack ~8:45 → Drop at 405°F, dev time 45 sec

The roast curve goes on the bag as a scannable code — no mystery, no marketing-speak.

Step 3: Orders placed by 12:00 PM ship same day, roasted the morning of

Roasts run Monday–Friday. If your order is in by 12:00 PM Pacific, it's roasted the next morning and ships that afternoon via USPS Priority or UPS Ground (your choice at checkout). We do not ship on weekends.

You'll get a tracking email the day it leaves the roastery. We do not pre-roast inventory.

Step 4: You brew it within the freshness window

Coffee is at its best 5–21 days post-roast for pour-overs, and 7–28 days for espresso. We label every bag with the exact roast date. If your beans are more than a month past roast, you should let us know — that's a freshness problem on our end.

Storage: Keep the bag sealed, away from heat, light, and moisture. Don't transfer to the freezer.

Subscriptions: pick a cadence, never run out

We ship on 2-week, 4-week, or 6-week intervals. You can pause, skip a week, change grind, or cancel any time from your account page. Subscribers get free shipping and priority access to limited micro-lots.
